CRM priced per agency or per user: which works out cheaper

Almost every estate agency CRM on the market charges per user, per month. It sounds reasonable until you do the maths: every agent who joins your team raises the bill, every month, indefinitely.

That creates a perverse incentive. You start hesitating before adding the new negotiator. Two people share one login. The trainee stays outside the system. The CRM that was meant to help you grow becomes a reason not to.

The numbers, without the marketing

Take €39 per agent per month, which sits around the industry average:

Going from three agents to six doubles your bill while the software does nothing different. Same product, same database, same features. There are simply more people logging in.

Why it is priced that way

Per-seat pricing comes from enterprise software, where each licence carried a real cost. In a cloud CRM that marginal cost is close to zero: adding your seventh agent does not cost the provider seven times what the first one did.

It survives because it is easy to sell and because revenue grows automatically as the customer grows. The trouble is that you are the one paying for that convenience.

What changes with per-agency pricing

A flat price per agency breaks that link. You pay for a tier and put whoever you need inside it. Your cost per agent falls as you grow instead of rising.

In practice it changes everyday decisions: you add the new agent on day one, you include the administrator who runs the diary, and you stop sharing logins between people — which is a security and accountability problem in itself.

When each model makes sense

To be fair: if you work alone or there are two of you, the difference is small and there are perfectly good per-user CRMs.

The tipping point arrives around the third or fourth agent. That is when per-user pricing starts to bite, and every hire means running the numbers before you commit.

What to check before you decide

  1. What you would pay with the team you want in two years, not the one you have today.
  2. Whether features are gated by plan. Some charge per user and keep the management dashboard for the expensive tier.
  3. Whether your data is exportable. If you cannot pull your portfolio out as a CSV, you are not a customer — you are locked in.
  4. Whether the price rises on renewal. Plenty of entry offers double in year two.
